GRAWA
Electronic Communications Policy

OBJECTIVE
The
objective of this policy is to establish standards and guidelines
for electronic communications sent to members of the Greater Rochester
Association for Women Attorneys (“GRAWA”) so that the communications
are consistent with GRAWA's Mission Statement and sent in an efficient
and secure manner.

POLICY
There
are two (2) general means for disseminating information to GRAWA members:
electronic correspondence (“e-mails”) and GRAWA's website. With regard
to all electronic communications, the following applies:

All
programs, files, documents, or other information contained or stored
in GRAWA communications are the sole property of GRAWA, including
e-mails;
-
GRAWA
has the right, and not the responsibility, to examine and/or remove
any on-line materials, including news, e-mail, and files at any
time, and as needed, to maintain the operability, security, safety
and membership standards of the service;
-
All
electronic communications shall be for the purposes of GRAWA and
the Women's Bar Association of the State of New York;
-
Except
for GRAWA purposes, member e-mail addresses shall be considered
confidential and shall not be published or distributed by GRAWA
or its members; and
-
Receipt
of GRAWA e-mails is a privilege of membership.
PROCEDURES
GRAWA
Membership E-mails: It is the responsibility of the Media
Committee Chair, or a person designated by the Chair, to ensure that
e-mails sent to GRAWA members contain the appropriate information
for the membership. As an organization, GRAWA is committed to informing
members of GRAWA events and other pertinent information. E-mails shall
conform to the following guidelines:

E-mail
calendars should be sent on a weekly, or as often as necessary basis,
to inform GRAWA members of GRAWA, or GRAWA sponsored events, or
other necessary information;
-
E-mail
calendars should contain a listing of upcoming WBASNY and/or GRAWA
sponsored or endorsed events, job opportunities and other GRAWA
membership information. Examples of GRAWA membership information
that may be included in an e-mail calendar are openings for the
GRAWA Board of Directors or solicitation for participation on GRAWA
Committees. Political information or solicitations for fundraising
events other than GRAWA sponsored or endorsed events shall not be
listed in the e-mail calendar;

All
GRAWA e-mails shall be sent in such a manner as to prohibit the
disclosure of membership addresses, to the extent possible;

Membership
e-mail addresses shall not be disclosed to anyone other than for
the purpose of sending authorized GRAWA e-mails;
-
Other
information shall not be considered for e-mail to the membership,
but may be considered for GRAWA's website as set forth below;

The
e-mail calendar shall not contain notices or information concerning
non-GRAWA, or non-GRAWA sponsored events, unless a request is submitted
in writing by the person or organization seeking inclusion in a
GRAWA e-mail, along with a written request for co-sponsorship or
endorsement. The written request for inclusion and sponsorship or
endorsement must be submitted to GRAWA's President for approval
or presentation to the Board of Directors, at her sole discretion,
at least three (3) weeks before the requested date for publishing
in a GRAWA e-mail; and
-
The
e-mail calendar should be as concise and informative as possible.
GRAWA
Website: It is the responsibility of the Media Committee
Chair or a person designated by the Chair, to ensure that website
content is consistent with GRAWA's Mission Statement. As an organization,
GRAWA is committed to informing members of GRAWA events and other
pertinent information, and GRAWA's website shall conform to the following
guidelines:

GRAWA
member information shall be contained in the “Member News” portion
of GRAWA's website. It shall only include information concerning
an event to the extent that the member(s) is directly involved to
the event. Such news shall be submitted in writing to the Media
Committee Chair or person designated by the Media Committee Chair;

The
Media Committee Chair or President may in her sole discretion deny
a request to include the information on GRAWA's website, or edit
or remove any of the content submitted or published. In addition,
the “Member News” information must contain: the member name, event,
date, and level of involvement of the member; and
-
Content
of the GRAWA website is the property of the Greater Rochester Association
for Women Attorneys or its content suppliers and is protected by
the United States and international copyright laws. The compilation
of content on this site is the exclusive property of GRAWA and shall
not be reproduced or rebroadcast in print or electronically without
permission of the GRAWA Media Chairperson or her delegate. Photos
and individual articles may be printed or e-mailed strictly for
the personal use of the GRAWA member referenced in the photo or
article. Website content that has been supplied by another publication
shall credit that publication and/or indicate reproduction permission.
